Aviator Coffee Company Service Agreement

This Agreement is entered into between Aviator Coffee Company LLC and the person/company paying for our coffee catering services (“Client”) (together, “Parties”). This document outlines the agreement between us for the event detailed in your email quote.

1. Event Details

Client is hiring Aviator Coffee Company to provide delicious coffee beverages for the event confirmed in your email titled Coffee Services. Any changes to these event details must be sent to Aviator Coffee Company at least 7 days before the event start date and may require additional payment.

2. Menu to be Served

The Parties will agree to the menu. However, Aviator Coffee Company reserves the right to make small tweaks if key ingredients are unavailable due to circumstances beyond our control. Our services come with a selection of 3 syrups and 2 milks, with an option to add more. The menu we are serving:

Drinks

  • Latte (Hot/Iced)

  • Cappuccino (Hot)

  • Americano (Hot/Iced)

  • Hot Chocolate

  • Tea Selection

Choice of Syrups

  • Caramel Syrup

  • Mocha Syrup

  • Vanilla Syrup

  • Seasonal Syrups: Fall (Honey Cinnamon, Pumpkin Spice), Winter (Peppermint)

Milk Options (2)

  • Almond Milk

  • Oat Milk

  • Whole Milk

3. Coordination with Venue

We will need access to the venue 1 hour before the event start time and 1 hour after for cleanup and load out. Client will make all necessary arrangements, at Client’s expense, to get this access arranged. We are able to set up outside, under a few conditions: 1) there is no chance of rain, 2) the temperature is between 40°F and 90°F and 3) there is a paved area. Please note, our espresso machines have their limits in extreme temperatures, our cart is not able to accommodate stairs and can not be set up in gravel or dirt.

4. Payment Terms

Payment to Aviator Coffee Company for Corporate Events will be as follows:

  • 100% is due upon booking before the event, You can pay by credit card or check in the booking form

    Make checks payable to:

    Aviator Coffee Company and mail to 5055 Old Ellis Point Suite A6 Roswell, Georgia 30076.

    Once we receive your payment, your event is officially on our radar for takeoff!

  • If the number of guests increases, we’ll adjust the cost. Please inform us in writing one week before the event with a final guest count.

Payment to Aviator Coffee Company for Weddings will be as follows:

A 50% non-refundable deposit is due upon booking and the remaining 50% of the invoice is du 30 Days Prior to your Wedding , You can pay by credit card with the booking form

Once we receive your payment, your event is officially on our radar for takeoff!

If the number of guests increases, we’ll adjust the cost. Please inform us in writing one week before the event with a final guest count.

5. Responsibilities for Related Costs

Client is responsible for all venue-related costs and for obtaining any necessary permissions for Aviator Coffee Company to work our magic at the venue. Electricity/power will be provided by the client (1x dedicated 120V circuit/15 amp per espresso machine). We’ll bring all the extension cables and multi sockets. Without adequate power, our espresso machines can malfunction. No power = no coffee = no refund.

6. Insurance

We’ve got general liability insurance to cover our services at the event.

7. Indemnification

Client will indemnify Aviator Coffee Company for any damage, theft, or loss of our property at the event caused by the negligence of Client’s guests or staff.

8. Cancellation

If you need to cancel, please provide written notice to Aviator Coffee Company. Here’s how cancellations work:

  • 15+ days prior to service: Full refund.

  • 8-14 days prior to service: 50% refund minus the deposit.

  • 1-7 days prior to service: No refund. This bums us out, but by then we’ve staffed your event, ordered products, and finalized logistics. However, this amount can be credited toward a future event!

Note: If we’ve ordered custom branding or other non-returnable items, you will still be charged for those.

8.1 Rescheduling

We’re flexible with rescheduling, but here are our limits:

  • Single-day events: Reschedule with at least 72 hours notice. Less than 72 hours notice = full event charge.

  • Multi-day events: Reschedule with at least 7 days notice. Less than 7 days notice = full event charge.

Rescheduling is subject to our availability on the new date.

9. Limitation of Remedies

If we can’t fulfill our obligations due to circumstances beyond our control, we’ll find a replacement catering company or refund you in full. We won’t be responsible for additional damages or compensation under these circumstances.

10. Resolution of Disputes

We aim to delight all our clients and their guests. If something’s not right, let us know so we can fix it. The Parties agree not to post any negative information online without giving advance written notice and an opportunity to resolve the issue amicably.

11. Jurisdiction and Venue

These terms will be interpreted according to the laws of the state and county where the event is taking place.

12. Entire Agreement

This document, along with its exhibits and attachments, is the entire agreement between us.
